FAQS

About Full Circle PR

  • What makes Full Circle PR different from other healthcare marketing agencies?

Most agencies are built around clicks, ads, and digital spend. We are built around physician-to-physician relationships, getting in front of referring offices and showing them exactly why they should send patients to you. Then we support that work with everything else a growing practice needs: public relations, digital marketing, reputation management, crisis communications, design, and staff training, all under one roof. Since 2007, we have helped more than 650 practices grow and built a reputation across the medical community that opens doors for our clients.

  • What can you do for our practice?

It depends on what you need most. Most practices come to us to grow referrals, so we build or manage a physician liaison program that puts you in front of the offices that matter. Around that, we handle public relations, online reputation, digital marketing, design and content, staff training, and crisis planning, all working toward the same goals. We start with a free consultation to understand where you are, then recommend only what fits.

  • Nobody in our office has time to market the practice. Can you take it on?

Yes. We act as your marketing team. Your physician liaison is a trained Full Circle PR employee, but referring offices see them as part of your practice. We stay in the background, and the relationships belong to you. We also handle media relations, community events, social media, and print materials, all coordinated with your growth strategy. That frees your team to focus on patients, patient care, and running an efficient office, all of which affect your bottom line.

  • Do you only work in healthcare?

Yes. Healthcare is all we have done since day one. We understand referral patterns, payer realities, and the pressure physicians are under. We also know the legal side of healthcare marketing, from HIPAA privacy rules to federal anti-kickback and self-referral laws and state medical board advertising rules, so your marketing stays compliant. You never have to spend time teaching us your world.

  • Do you work with practices nationwide?

Yes. We work with solo practitioners, specialty groups, hospitals, and healthcare organizations across the country. Our liaison programs, PR, and consulting are built to work in any market, and our virtual liaison option extends outreach anywhere you need it.

  • Do you work with my specialty?

Very likely, yes. We work with practices, hospitals, and health systems across a wide range of specialties, including neurosurgery, spine, cardiothoracic surgery, orthopedics, physical medicine and rehabilitation, interventional radiology, ENT, cardiology, vein and vascular surgery, gastroenterology, colorectal surgery, bariatric surgery, general surgery, medical oncology, radiation oncology, hematology, gynecologic oncology, maternal-fetal medicine, urology, nephrology, pulmonology, sleep medicine, pain management, dermatology, ophthalmology, rheumatology, neurology, allergy and immunology, podiatry, wound care, pediatric specialties, and behavioral and developmental services such as ABA therapy. If you don’t see yours, ask. The relationship work translates across every specialty.

  • Why would you turn a practice away?

Because our name is connected to yours. If we wouldn’t send our own family or friends to you, we won’t take you on as a client. That standard is why referring physicians trust the practices we represent, and it’s why we are fully invested once we commit.

Referrals and physician liaisons

  • Our referrals have slowed down, but we can’t tell why. Can you help?

This is the most common thing we hear. Most practices see patients booking but can’t say which offices are sending them, which have slowed, or which relationships are quietly slipping. By the time a drop shows up on your schedule, the referring office has often already moved on. Our liaisons visit those offices, talk to the referral coordinators, and find out what changed, so you can fix it before the relationship is gone.

  • What does a physician liaison actually do?

Your Full Circle PR liaison represents your practice out in the field, and to referring offices, they appear to be a member of your own staff. We stay in the background, and the relationships belong to your practice. It’s a true partnership. Your liaison educates referring offices on your providers, services, and new procedures. They build real relationships with referring physicians and their staff, listen for the barriers that make referring to you harder than it should be, and bring back field intelligence on new practices, retirements, and providers changing groups. They also arrange physician-to-physician meet-and-greets, so your doctors aren’t left waiting in a lobby.

  • Why focus on referrals instead of online advertising?

Because a referred patient is the most valuable patient a practice can get. They already trust you because a physician they trust sent them. They show up, they show up on time, and they come with insurance. Digital marketing has a place, and we do it, but it works best supporting strong referral relationships, not replacing them.

  • Our physicians don’t have time to go visit referring offices. Do they need to?

Very little. That is what your liaison is for. Day to day, practice management typically reviews and approves marketing materials, and how involved anyone wants to be is up to you. If a physician wants to meet referring providers in person, we set up focused meet-and-greets so the time they give is well spent.

  • We already have a liaison on staff. Can you still help?

Yes. Some practices have someone in the role but aren’t seeing the results they expected. We offer a short-term development program to sharpen your liaison’s strategy and skills, or a long-term management partnership where we serve as their manager, with regular strategy meetings, accountability tracking, pipeline review, and growth planning.

  • What is the difference between an in-person and a virtual liaison?

Both are Full Circle PR team members, trained and managed by us. An in-person liaison works in the field on your growth, visiting referring offices face to face. A virtual liaison conducts targeted outreach to your referral sources remotely. Virtual works well for practices growing in rural areas, where offices are spread far apart, and in other situations where remote outreach makes more sense than in-person visits. It is also a more affordable way to keep consistent outreach going.

  • We’re adding a new physician or location. How do we get referrals flowing quickly?

A new provider is invisible to referring offices until someone tells them. We run introduction campaigns, meet-the-provider visits, branded materials, referral target lists, and visit plans built around the new physician’s specialty or procedures, so the referral community knows from day one.

  • When is a good time to start marketing a new provider or location?

As a rule of thumb, start 2 to 3 months before the new provider joins or the new location opens. That way, when they’re ready to see patients, patients are already lined up and waiting.

  • Who are your liaisons, and how are they trained?

Our liaisons come from a range of backgrounds, and every one is trained by our management team, either at our office or in your market, since we work nationwide. We talk with our liaisons every day. They also work together as a national team, sharing what’s working and how they’ve gotten past roadblocks, because what works for a practice in Ohio can work in Texas. That support system is something an in-house liaison working alone usually doesn’t have.

Common concerns

  • We tried a liaison before and it didn’t work. Why would this be different?

We hear this often, and usually the liaison wasn’t the problem. They were working alone, without a clear strategy, ongoing training, or anyone to help when they hit a wall. Our liaisons are trained and managed by our team, talk with us daily, and are backed by liaisons across the country who share what’s working. You also get monthly meetings and regular referral data reviews, so the effort is tied to real numbers. If you still have someone in the role, we can develop or manage them instead.

  • We’ve been in this community for years. Do we really need marketing?

Your reputation is a real advantage, until a competitor moves into the area and starts marketing to the same offices you rely on. Referral relationships also change on their own. Referring physicians retire and office staff turn over, so the people who knew you are replaced by people who don’t. Keeping those relationships going is what protects a long-established practice. It’s the same reason Coca-Cola still advertises.

  • Our schedule is already full. Why would we need more referrals?

Full, but full with the right patients? Referral development isn’t only about more patients. It’s about the right ones: patients whose insurance plans reimburse well, and patients who need the procedures your physicians do best and find most fulfilling. When referring offices understand exactly what you do, your schedule fills with the work you want, not just whatever comes in.

Results, reporting and ROI

  • We’ve spent money on marketing before and couldn’t tell if it worked. How will we know this is working?

It starts with a strategic growth plan, so we agree on the goals before the work begins. Then we measure success the same way you do: more referrals, more patients, and a stronger reputation with the physicians who matter to your practice. You receive detailed weekly reports of every liaison interaction. We also work with your team to track which offices are referring and how many new patients each one sends. In monthly meetings and monthly or quarterly data reviews, we look at the trends together: which offices are growing, which are just starting to refer, and which are slipping, so we know where to focus next.

  • How long before we see results and a return on our investment?

Referral numbers usually start to move after about 3 to 4 months of consistent outreach, once relationships with referring offices take hold. From there it builds like a snowball: small at first, then growing year over year. This is a marathon, not a sprint, which is why our clients stay with us year after year.

  • What kind of results have your clients seen?

A few examples from our work, with client names kept confidential: (may change or add a few more)

    •          137% return on investment in 12 months for a dermatology practice

    •          53 more heart surgeries in 9 months for a cardiothoracic surgery group

    •          70.3% increase in outpatient referrals for a hospital

    •          347 new patients for an oncology center, 42% over goal

    •          20% growth in new patient consults for a pain management practice

    •          More than $233,000 in earned media value for an oncology center

See more on our Results page.

  • Can we talk to practices you currently work with?

Yes. We are happy to provide references, and you can read what physicians and practice leaders say about us in the testimonials throughout our site. We don’t publish client names next to their results, to protect their privacy.

Public relations, reputation and digital

  • Can you get our physicians in the news?

Yes. We pitch your physicians as expert sources, share new procedures and milestones with the media, and position your doctors as the people reporters call when a health story breaks in your specialty. Coverage builds credibility with patients and referring physicians at the same time. For one oncology center, our media work generated more than $233,000 in earned media value.

  • A few negative online reviews are hurting us. What can we do?

We help practices monitor their online reputation, respond to reviews appropriately and within privacy rules, and build a steady flow of positive reviews from satisfied patients. The goal is an online presence that reflects the care you actually provide.

  • Do we still need digital marketing if referrals are the priority?

Yes, but in its proper role. When a referring physician recommends you, the patient almost always looks you up. Your website, reviews, and search presence need to confirm what that physician told them. More patients now also ask AI tools like ChatGPT or Google’s AI answers which doctor to see, so we help make sure your practice shows up accurately there too. We make sure your digital presence supports your referral relationships instead of competing with them for budget.

  • Our competitors show up first online. How do we fix that?

We handle your website, search engine optimization, and review management, so when patients look for care in your specialty, they find you and like what they see. That matters even for referred patients, who almost always look you up before they call.

  • Patients and referring offices complain about our front desk. Can you help with that?

Yes. A great referral can be lost with one bad phone call. We train practice team members on the patient and referral experience, from how calls are answered to how referred patients are scheduled and followed up with, so the relationships we build in the field hold up inside your office and more first calls turn into scheduled visits.

Crisis management

  • Nothing is wrong right now. Why would we need a crisis plan?

Because when something does go wrong, you will have minutes, not days, to respond. A patient safety event, a data breach, a regulatory inquiry, or a post that spreads online can damage patient trust and referral relationships fast. We help you identify your most likely risks, prepare your leadership team, and have holding statements and protocols ready, so you respond with clarity instead of reacting under pressure. We also media-train your physicians and leaders, so they’re ready if a reporter calls.

  • Something just happened. How quickly can you help?

Right away. Our team responds 24/7. Our clients have a dedicated crisis line they can call or text the moment something happens. In one case, a prominent surgeon’s forwarded email drew local and national media attention. Within hours a public apology was issued. Within 24 hours referring physicians, hospitals, and every patient received a clear statement. Within 72 hours the situation was contained, and after months of tracking, patient volume held steady. If you are experience an emergency now, visit our (add crisis page) for more information.

  • Will you work with our attorney?

Yes. We work hand in hand with your legal counsel so every communication supports your legal strategy while protecting your reputation and the trust of your patients, staff, and referring physicians. We have supported practices through regulatory investigations, privacy breaches, malpractice matters, and settlement announcements, always with full confidentiality.

Working together

  • How much does it cost?

Every proposal is custom, because every practice has different goals, markets, and needs. A virtual liaison program, an in-person liaison, and a full PR and crisis partnership are very different investments. After a free consultation, we build a proposal around your practice with clear options and transparent pricing, so you can choose what fits.

  • Is marketing really worth the investment for a medical practice?

Think of it like your retirement account. You don’t judge it by the first month’s statement. Steady contributions build on each other, and the growth compounds over time. Or think of it the way you’d manage a chronic condition rather than an acute one. One visit doesn’t fix it. Consistent care over time does, and stopping early undoes the progress.

Referral relationships work the same way. The first few months are about building trust with referring offices. Then referrals start to move, and each new relationship adds to the last. That’s why so many of our clients have stayed with us year after year.

It also helps to look at the cost of standing still. Ask yourself what one referring office is worth to your practice. If it sends even a few patients a month, losing it quietly to a competitor costs you real revenue every year. As healthcare marketing consultant Keith Borglum told Ophthalmology Management, one good professional referrer is worth a dozen referring patients.

As a general rule, the U.S. Small Business Administration suggests that businesses with less than $5 million in revenue invest 7 to 8 percent of revenue in marketing. In ophthalmology for example, practices that want to grow typically invest 5 to 10 percent of collections, and 10 percent or more in highly competitive markets.

  • Is there a long-term contract?

Most engagements are annual agreements, because referral relationships take consistent effort to build. Project-based work, like crisis planning or liaison training, is scoped on its own. Every agreement is written around your practice’s specific goals and needs.

  • Who will we work with day to day?

You will have a dedicated Account Executive who manages your strategy, timelines, and communication, and serves as your main point of contact. Depending on your program, you will also have a dedicated physician liaison and access to our design team. Our leadership stays involved, and you will never be handed off to someone who doesn’t know your practice.

  • Will you sign a Business Associate Agreement?

Yes. We sign Business Associate Agreements as standard practice.

  • Do you work with our competitors?

No. Once we take on a practice in a specialty within a market, we will not represent another practice in that same specialty there. Marketing for your competition would be like marketing against ourselves, and we simply won’t do it.

  • What happens after we reach out?

It starts with a free consultation. We learn about your goals, your referral challenges, and your market, then recommend the options that fit and walk you through what each one includes, so you can make a confident decision. Start a conversation.

Private equity and multi-location groups

  • Do you work with private equity-backed groups and MSOs?

Yes. We partner with private equity groups and their portfolio companies to build referral growth and protect brand equity through acquisition, integration, and expansion. Long-term value depends on reputation and steady patient growth, not just operational efficiency.

  • Can a liaison program scale as we add locations?

Yes, and that is how we build them. The same referral strategy that works for one practice expands location by location, with consistent messaging, training, KPIs, and reporting across the portfolio. We can run the program for you or build and manage your internal liaison team.

  • How do we keep referring physicians loyal after an acquisition?

Referring physicians often worry that an acquired practice will change how it treats their patients. If no one tells them otherwise, they quietly send patients elsewhere. We get ahead of that with direct outreach, clear communication about what is and isn’t changing, and steady relationship-building through the transition, so the referral base you invested in stays with you.
